Corporate Entertainment Thank You

Whether an intimate party or year-end extravaganza a corporate entertainment thank you may come in many different packages. Successful businesses know how to maintain and improve employee morale. They know that a memorable party with live entertainment is a fantastic way to express gratitude. Likewise, entertainment companies, such as Applause, are grateful to have the opportunities to provide such empowering events. As we look back on 2013, we want to say thanks and remember some of the outstanding productions of the past year.

1. Roaring 20s Year-End Party: Integrated and high-energy live entertainment made this event pop from start to stop.  By including costumed-greeters, live bands, a floor show, and stilt-walking jugglers, guests were transported to the world of the Great Gatsby. Greeters asked for passwords to enter the “Cotton Club,” as they accompanied guests into the main ballroom. Caricature artists, tarot card readers and fortune tellers made guests feel as though they were part of the action. The result?  A fluid, well-choreographed, and an interactive event…plus, a very happy planner.

2.Culinary Industry Conference: Live entertainment under the beautiful Arizona sky set this production apart from many others this season. A beautiful resort terrace set the stage, as Taiko drummers, a German polka band, a British string ensemble, and Belgian musicians highlighted the international affair. Talent and food worked together to create a multi-sensory delight. Strategic positioning, lighting, and timing allowed the acoustic sounds to blend a savory atmosphere of conversation and culinary favorites. Bon appetite!

3. Unique convention entertainment: Home on the range doesn’t necessarily apply to most big-city convention centers, but in this case it did. Dancing saloon girls, honky-tonk piano players, a singing cowboy on horseback, and an authentic card shark kept guests thoroughly entertained and engaged as they walked the convention floor. The 1880s were alive and well in this western city thanks to the live entertainment that transported, delighted, and satisfied all involved.

As planners book entertainment for the coming season, they desire to be on the cutting edge; they want what is unique, new, and effectively promotes the company’s brand. For many, this includes the use of digital media, or interactive entertainment. While this can be exciting and innovative, it can also be costly and ineffective unless managed by experienced professionals. What alternatives are there to create the “Wow” factor that will captivate your guests and still maintain quality and budget?

1. Technology doesn’t have to take center stage. Use intelligent lighting, videos, and computer graphics as part of the entertainment package, rather than the driving force. Examples might include dancers performing the “Gangnam” routine while a video of Psy streams simultaenous song and movement. Another example could be a concert pianist performing Hollywood’s theme songs highlighting movie clips associated with the music. The idea is effective use of technology to enhance live entertainment.
2. Interactive entertainment doesn’t have to be digital. Pieces of entertainment expertly woven into an event can spice up the traditional passive role of the audience. It may be July, but it’s time to book your event entertainment. Exciting and engaging events are an essential part of any corporate calendar, since they can help to promote the company both externally and internally, while boosting morale and rewarding a job well done. The easiest way to ensure a successful event is to include stellar entertainment. Here are three ideas to guide you.

1.Know your audience: Consider the demographics of the attendees. Before you hire a Lady Gaga impersonator, make sure the majority of audience members are not octogenarians! Although they may remember the event, it may be a nightmarish vision rather than the sublime experience you were hoping for. A 1920s theme party, an Impersonator show, or even a Wild West night complete with casino and saloon girls, has a much broader audience appeal.

2. The window of opportunity is open. Book now is good advice. Quality corporate entertainment with a high profile will often have its season set by the end of August. Details That Can Make or Break Your Event

The saying goes, “The devil is in the details.” This adage could not be more true than when planning an event. We’ve already explained the importance of planning, communication, and the necessary aspects to producing a seamless event. Now it’s time to focus on those minute details that can make or break your event.

1. Be proactive and brainstorm possible challenges. As you meet with your event director and team members, you will have conceptualized the theme for the event. However, it’s important to discuss any possible challenges that might arise and have the ability to contact key players at a moment’s notice. Let all members of the production team know who has the authority to make those last minute changes that may need to be made on the spot. Stay in touch with each of your team members. Have a hard copy of relevant cell phone numbers and emails for your team and other vendors that may have a role in your production.

2. Check and re-check technical requirements. Be sure to re-check stage requirements, mikes, wireless microphones or lavs, green room size and accessibility to the stage, chairs in the green rooms, water, etc. These needs are a priority for entertainment; however, the director’s priority is the production. As a result, you must be diligent about these necessities. All too often these details are forgotten until only hours or minutes before the event begins. You are left trying to find the site contact person to produce these requirements and, at this point, they have a million other things to do. Schooli  tables for makeup, and even lighting for a pipe and drape green room, should be in place before the entertainment arrives. It’s impossible to put on makeup and dress in the dark. When the minute details are taken care of, talent can go immediately into their preparation with ease.

3. Understand that time is important. Even though your contract is signed with definite start times and particulars, you will need to re-check the scheduling of the event, since call times and show times can change at the last minute. Make sure your contract provides an additional fee in the event that your entertainment has to wait for an extended period of time before performing. Sometimes a speaker or awards presentation can go extraordinarily long, causing the performance time to be delayed. This can happen and entertainment expects to be compensated.

Preparing the way for a great event

Successful events don’t just happen. They are the culmination of hard work, talent, and organization. Nothing is more important in the organizational process than clear, well-thought-out planning. Here is how to prepare the way for a great event:

1. Create schedules. This includes both a timeline for actions that need to be finished prior to the event, and also the talent and activities that happen during the event. When you’ve finalized the talent that will perform during the party, plan the ornamental activities such as photo opportunities, green screen, greeters, etc. Make sure to plan the set-up time for all talent and activities, as well as the time it actually begins.

2. Create a spreadsheet of vital information. All pertinent details, including date, time, venue name and location, contact information, and theme should be organized into one easy-to-access document. Also, build enough time into the schedule to walk the site with strict attention to room size, stage size and location, electrical accessibility, and green room area.

3. Facilitate communication. Make sure that your administrative details, such as accounting and payment schedules, are clearly communicated at the outset of the process. It is standard in the industry to provide a 50 percent deposit. This secures your talent for the expected time and date. Final payment is always expected the week prior to the event. Communicate these payment considerations and your administrative worries will be few. Good talent expects professional courtesy, which means following the above protocol.
